August 2019 Board Meeting Summary

Brookeville Knolls HOA Board Meeting Minutes

Wednesday, August 14, 2019

7:00 p.m. - Olney Library

Attendees:

General:

• Kathleen called the meeting to order at 7:04 p.m.

• Kathleen motioned to approve the July minutes. Ryan seconded, and all were in favor.

President’s Report:

• Received requests and checks for resale packages

• Processed new owners email addresses.

Treasurer’s Report:

• Account Balances as of 8/14/2019

• Updated budget forecast with actuals to date.

• Included a budget worksheet for review to determine 2019/2020 dues; to be discussed under New Business.

Vice President’s Report:

• Traffic/Speed Humps Report

• Website:

• Posted Olney Night Out information.

• GOCA:

• Tower is back on at ICC and Georgia Avenue.

Secretary’s Report:

• Maria drafted annual dues letter for review; noted recommended changes.

• Kathleen will send email address updates to David

• David will send Maria final database

• Maria will mail annual dues letters

Old Business:

• Architectural Notices Templates:

• David reviewed the draft form to be used by the Architecture Committee when a resale package is requested. The process was reviewed with the Architecture Committee.

• Architecture Committee:

• Reviewed pending Architectural Change Requests

• Reviewed and approved Resale Review Requests

• Maria shared photos were taken during her recent walk-through with David.

New Business:

• Comcast boxes (3) on HOA property near Tidewater pool and behind home fence.

• Discussed behind Tidewater Court. To be further discussed in September.

• 2019/2020 Budget:

• Kathleen motioned to raise dues $10 to cover anticipated maintenance costs. Maria seconded, and all were in favor.

• Landscaping;

• Maria will send a clarifying email to LD to also cut back branches less than 8 feet off the ground along the path. She’ll also ask about spreading out the mulch pile in that area.

• Remind Land Décor of mulch work that was included in their estimate.

• Reviewed tree issues from walk-through. Consider putting mulch or small rocks between the end of the path at HH/108 up to the sidewalk

• Maria will document the location of the trees at issue and send notice to Pupkar for an estimate.

• Maria will request Land Décor to remove fallen branch on the path.

• Need to communicate new resale process to the HOA members:

• New electronic resale package includes more information to address frequently asked questions (i.e. HOA budget, new owner setup fee, and other pertinent documents).

• New items – status of HOA compliance

Maria motioned to adjourn the meeting at 8:55 pm; David seconded, and all were in favor. The next Board meeting is scheduled for Wednesday, 9/11, from 7 - 8:30 pm at the Olney Library.
