September 2018 Board Meeting Summary

Brookeville Knolls HOA BOD Meeting Minutes

Attendees:

General:

• Mary called the meeting to order at 7:33pm.

• Mary motioned to approve the August meeting meetings as written. Ryan seconded. All were in favor.

Treasurer’s Report:

• Reported on account balances

• Paid monthly trash payment to Potomac Disposal

• Paid Pupkar for two invoices

• Paid Md. tax

• Took out of savings to make up for some of the costs related to the ash tree issue

President’s Report:

• No update

VP’s Report:

• Newsletter:

• Working toward a September newsletter

• Kathleen invited GOCA to speak at the Annual Meeting

• September GOCA Meeting- was not able to attend but Kathleen shared our survey results

• Received request from non-homeowner asking for a specific ACR request.

Secretary’s Report:

• Maria created the annual dues letters and they were mailed on 8/31

• Maria drafted the proxy forms for review

Member-At-Large:

• Email on website about trash not getting picked up on Friday, 9/17. Potomac Disposal picked up his trash the next day.

• Ryan contacted Tanterra’s HOA about the traffic issue and waiting to hear back from them.

Old Business:

• Trees:

• Pupkar cut down small dead ash trees along the path behind Chancery Court.

• The dead tree on Heritage Hills has a big X on it; hopefully this means that the County is addressing this tree.

• Landscaping Projects:

• Issues with C&R:

• Need to address with C&R the fact that the clean up work was not completed; branches are still piled up.

• Concern about the work quality. Many homeowners are complaining asking if we changed companies this year. Board feels that C&R has not been proactive this year. The path is still not being blown and definitely not all the way to QE. The Board would like to meet with him to review issues and walk the common areas. Maria will email Chris to coordinate a day/time to meet.

• The divits on QE by the path have disappeared. We agreed to leave this alone.

• Area along the path at HH across from the townhouses is eroding. Need to assess what to do in this area.

• Tree Work

• Mary will contact Pupkar to just get the trees cut. Mary will also draft a release letter

• Architectural Guidelines:

• Reviewed guidelines and documented proposed changes.

• Mary will check with John F. to see if we need to file AG changes with the County.

• Kathleen will send edits discussed.

• Budget for Next Year:

• Discussed and proposed changes; Larry will document the changes.

• Maria motioned to keep the annual dues flat. Kathleen seconded; and all were in favor.

• Clean-Up day:

• Kathleen sent first email on 9/15 and will send a reminder on 9/28.

• Board will put signs out on 9/24:

New Business:

• Proxies

• Reviewed draft proxies.

Maria motioned to adjourn the meeting at 9:35pm. Larry seconded. All were in favor. The next meeting is scheduled for October 24th
