Brookeville Knolls HOA Board Meeting Minutes

Thursday, June 16, 2022

7:00 p.m. – Zoom

Review / Approval of May Meeting Minutes

● Maria B. called the meeting to order at 7:01pm.

● Rick motioned to approve the May meeting minutes. Maria B. seconded and all were in favor.


President’s Report

● Website updates:

o The approved April minutes were posted on the HOA website.

o The June meeting date was posted on the HOA website.

o The website was updated to include Trash Program section. Verbiage was added under the About Us tab at the bottom of the section; it needs to be moved to the top of the section for maximum visibility.

● GOCA

● Emails


Treasurer’s Report: The finances are in good shape. tree removal costs due to the tornado have been offset by a payment from State Farm, the HOA’s insurance carrier

● Account Balances:

● Re-Sale Packages: No requests were received or are pending.

● Dues Status: No changes from the previous month.


Vice President’s Report: No report.


Secretary’s Report: No report.


Member-At-Large Report: No report.


Architectural Committee

● Resale Packages for Review: none received or pending.

● Architectural Change Requests for Review: none received or pending.

● Old Compliance Issues:

Old Business:

● Grounds Maintenance / Landscaping Projects

o Need to create an RFP for bids to complete the proposed work to address water flow issues. Rick sent a draft RFP to the Board for review by the end of the following week. Rick will send this RFP to ECR and maybe one additional company. Rick will send the RFAs out with this week and keep the BOD informed as to status.

o The Board motioned to get additional bids for the survey of Parcel D only from OC&L. David found information from previous surveys. Bob contacted Johnson and received additional information. Bob asked if we should hold off on this, especially in light of the unexpected costs for tree work and Land Décor cost increases. David stated that there was money in the budget and Maria B. agreed. Bob will compose a letter for review that can be emailed from the BKHOA account. Rick mentioned that corners should be marked.

o Discuss additional action(s) needed with Land Decor.

● ADU Voting/Meeting Review of new amendment;

● Path to Private Property Signs

o Land Décor installed the posts and signs.

● Reserve Study:

o Maria B. and David met and a draft file was put together.

● Trees

● Montgomery County 311 Submissions

● Proposed Covenant Changes: Maria B. reminded BOD members to review Article 7. Several areas for updates/clarification to the covenants need to be discussed

New Business:

● Discuss shed compliance issues; shed(s) have to be behind the homes or not visible from the street.

● Tree branches on homeowner’s property blocking the view of on-coming traffic on Heritage Hills Drive.

● Land Décor branch trimming.


The next Board meeting will be on Wed July 13th, 2022 at 7:00 PM via Zoom. Rick motioned to adjourn the meeting at 8:14 PM. David seconded and all were in favor.
