Brookeville Knolls HOA Board of Directors Meeting

7:30 pm, Wednesday, January 15, 2025

 

Invitees: Maria B, Jim D, Maria H, David K, Joe K, Brad S

Meeting called to order at 7:31

Review / Approval of October and December 2024 Meeting Minutes

 

Motion to approve minutes by Maria H., seconded by Joe, approved with all in favor.

 

President’s Report

a.     GOCA:

o   Maria B. sent previous meeting minutes for 12/2023 through 7/2024 to Ryan M to post on our website. COMPLETE

o   Maria B. sent meeting minutes for August and September 2024 to Ryan to post on our website.

o   Maria B. emailed Ryan to add our January meeting date on our website. COMPLETE

o   GOCA has direct link to 311 on their website, we would like to have a similar link on our HOA website. Maria B. emailed link to Ryan M. COMPLETE

o   GOCA also has a direct link to Roads; able to report missing signs, blocked signs, areas where grass hasn’t been mowed, etc. Maria B. emailed link to Ryan M.

o   Maria B. participated in the January 14 GOCA meeting

§  Attainable Housing initiative is on hold, new GOCA policy of having 2 reps and 2 back-ups vs the current 1 rep and 1 back-up from each HOA/Org.

§  Trees discussion, Evan Glass – Council Member at large, also have a “green” committee.

§  New Plastic Bag law/rule – 10 cent charge per bag, remove plastic bags

Treasurer’s Report

-        Report sent out with new numbers, Taxes filed, collected some dues, still have accounts past due.

-        Account Balances

Vice President’s Report

-        Nothing to report

Secretary’s Report

-        Nothing to report

Member-at-Large Report

-        Question about the fence that needs fixing. Email was sent, awaiting reply

Architectural Committee:

ACR’s

Sheds:

a.     Jim drafted a letter that will be sent to all homeowners letting them know of the shed guidelines and that specific letters will be sent to homeowners with a shed that either does not meet guidelines and/or does not have an approved ACR:

a.     Existing shed meets guidelines and has an approved ACR – no letter

b.     Existing shed meet guidelines but does not have an approved ACR – will get a letter

c.      Existing shed does not meet guidelines – will get a letter

b.     Maria B. asked Board members to sign up for streets to review. We need the initial email sent about 30-60 days prior to the individual letters.  The sooner the reviews occur the sooner we can start sending the initial letters.  Reset target review date to 1/31. Once complete, Maria B. will send email to all homeowners, followed by targeted emails to non-compliant homeowners. We should consider giving homeowners 90 days to rectify any compliance issues; it will be difficult to do work in the winter.

c.      Maria B. will update Jim’s file to indicate which homes have shed ACRs on file.

a.     Received question from homeowner on this. Maria B. will reach out to MoCo on status of our review.

New Business:

1.     Discuss trash program proposal (.7% increase)

a.     Current - $132 charge, Motion to keep Trash at the same rate $132, motion approved.

b.     Plan to send an email to community before invoices go out.

2.     Schedule February Board meeting; proposing February 18th at 7:30pm; Maria B. has a conflict with 2/19.

a.     Meeting Scheduled 2/18.
