Brookeville Knolls HOA Board Meeting Minutes
Wednesday, February 2, 2022
7:00 p.m. – Zoom

Review / Approval of January 2022 Meeting Minutes
● Maria B. called the meeting to order at 6:58PM.
● Rick motioned to approve the January meeting minutes. Maria H. seconded and all were in favor.
President’s Report
● Website updates:
o Ryan posted the final December meeting minutes on our website.
● GOCA
o No update. GOCA’s February meeting is next week.
● Emails:
o An email was received by a homeowner requesting the date for the next HOA BOD meeting so they could attend. Maria B. responded with the date and forwarded the zoom link.
o Emails were received containing speed hump votes.
Treasurer’s Report:
● Account Balances
● Re-Sale Packages: No requests are pending nor have new requests been received.
● Dues Status: No changes in status.
Vice President’s Report: Maria H. is working on the compliance emails.
Secretary’s Report: No report.
Member-At-Large Report:
● Rick drafted an RFP for the proposed storm water remediation work and sent it to Maria B. and Bob for review and comments. See further discussion below.
Architectural Committee:
● Resale Packages: None were received nor pending.
● Architectural Change Requests: None were received nor pending.
● Compliance Issues
Old Business:
● Grounds Maintenance / Landscaping Projects
o Need to create an RFP for bids to complete the proposed work to address water flow issues. Rick sent a draft RFP to the Board for review.
o The Board motioned to get additional bids for the survey of Parcel D.
o Land Décor was emailed asking what their protocol is if they come across a down branch when mowing; still no response.
o Mowing Bids: Maria B. sent our mowing requirements to 4 companies and asked for responses by 2/12.
● Trash Program proposals:
o Maria B. presented the latest trash proposals from vendors.
o Maria B. spoke with our attorney regarding Potomac Disposal Inc. (PDIs)
o Maria B. contacted Ecology Services
● ADU Voting/Meeting Review of new amendment
● Path to Private Property
● Common Area behind Tidewater Court Townhomes
o Comcast will be moving the green bump to the homeowner’s yard.
● Reserve Study:
o Maria B. and David met and a draft file was put together. The path, landscaping, and storm water issues were deemed critical items.
● Trees
● Homeowner request for trimming behind fences; review draft response
New Business:
● Letters will have to be sent to all current participants in the trash program explaining the transition to a new hauler from April 1st 2022 thru March 31st 2023 including cost and specific requirements. Maria B. will draft a letter to be sent out by mail once the new contract is finalized.
The next Board meeting will be on Wednesday March 16th, 2022 at 7:00 PM via Zoom. Maria B. motioned to adjourn the meeting at 8:25 PM. Rick seconded and all were in favor.
