Brookeville Knolls HOA Board Meeting Minutes

Tuesday, August 11, 2020

7:00 p.m. – Virtual Zoom Meeting

Attendees:

General:

• Ryan called the meeting to order at 7:03 pm.

• David motioned to approve the July meeting minutes as written. Maria seconded, and all were in favor.

President’s Report:

• Emails:

• Trees hanging over the path; Land Decor was contacted to trim trees to 8 feet above the ground. Maria B. send a second email to Land Décor.

• Insurance Questions

• GOCA:

• Communications tower is up

• Motorcycles racing on the ICC is still a big issue

• Pushing 9 districts; will be on the ballot in November

Treasurer’s Report:

• Account Balances as of 8/11/2020

• Outstanding on dues

Vice President’s Report

• Compliance Report

Secretary’s Report:

• Maria picked up Path Temporarily Closed signs.

• Maria will get pricing on PVC signs

• Maria B. sent the Board the draft cover letter for dues payment

• Maria B. sent previous proxy letters

Old Business:

• Landscaping Projects:

• Tree release - Maria B. will follow-up with Steve to get an update.

• Maria asked Pupkar to look at 3 trees on Queen Elizabeth Drive

• Tree trimming; raise canopy; Maria B. notified Land Decor and asked them to do this trimming she also asked them to pull down the branch in the common area behind Tide Water Court.

• There are drainage issues, Pupkar needs to address these issues. Pupkar will work on a drainage estimate.

• Maria will clarify path estimate with B&B

• Pedestrian path: Ryan will review the documents to request a path on our easement to Georgia Avenue.

New Business:

• Final Budget Review:

• David reviewed YTD actuals and proposed budget for new year; Board agreed to keep the dues flat. Maria B. motioned to approve the proposed budget for presentation at the annual meeting. Ryan seconded, all in favor.

• David will print and mail annual dues notice by August 15th. Maria will stuff envelopes and mail.

Architecture Committee:

• ACRs

• No resale packets pending

• Compliance issues

Maria B. motioned to adjourn the meeting at 7:51pm; David seconded, and all were in favor. The next meeting is scheduled for September 16th from 7:00 – 8:30 pm via Zoom. If any homeowners would like to join, please contact the HOA.
