Brookeville Knolls HOA Board Meeting Minutes

7:00 p.m. - Olney Library

General:

• Kathleen called the meeting to order at 7:01 pm.

• Kathleen motioned to approve the September minutes as written. Ryan seconded, and all were in favor.

President’s Report:

• Kathleen responded to various email inquiries.

Treasurer’s Report:

• Account Balances

• Reviewed year-to-date actual expenses versus budget for current fiscal year; reviewed proposed budget for upcoming year. David will revise the proposed budget based on our discussion and send to Maria to include with the annual meeting mailing.

• Reviewed new trash contract. Kathleen motioned to approve. Ryan seconded and all were in favor. David motioned to raise trash program rates to $96 (regular) and $135 (toter). Kathleen seconded and all were in favor.

• Updated on dues payment status

Vice President’s Report

• Traffic/Speed Humps:

• Received more than enough votes

• GOCA:

• ADU legislation discussed

• HOA may need to change their covenants before January 2020. If in the covenants, ADUs would not apply.

Secretary’s Report:

• Maria revised drafted annual meeting materials for final review. Maria will revise agenda per Kathleen’s feedback

• Talked with Comcast regarding their equipment in our common areas.

• David and Maria walked the common areas with Pupkar; the Board approved their proposal to cut and/or remove trees and dead bushes. Maria and David signed the proposal.

• HOA legal discussion

New Business:

• Annual Meeting:

• Agenda, cover letter and proxies are complete

• Kathleen will draft accomplishments and send to the Board for review

• Special topics:

• Speed humps

• County law changes

• GOCA updates

• Annual meeting signs – Kathleen and Maria will put them out.

• Kathleen will send email reminders out the Sunday prior and one day prior.

• Fall Clean-U

• ACRs:

• Discussed change requests

• Compliance issues

• Plat maps:

• Bob found plat drawings on the County website. He will send to the Board. Ryan will post them on our website.

• Other:

• HOA members need to voice landscaping issues to the Board not to workers.

Maria motioned to adjourn the meeting at 8:40 pm; Ryan seconded, and all were in favor. The next meeting is the Annual Meeting on November 14, from 7:30 – 9:00pm
